How do Process Boards benefit Reps?
As a Rep, you have a list of processes and expectations to follow for maximum success. Ensuring that every contact is fully up to date can be a challenge, especially in a busier than normal season. With process boards, you can simply run your board each morning, see what is in violation quickly, and rectify the error with ease.
You no longer have to worry about "doing that later" or falling behind on expectations, blocking off a whole day to "clean up" your contacts and pipeline. This will make your Admin happy by providing clean records and give your managers the information they need to know whether you're on track or need extra coaching. It's a win all around!
How do I start using my process board and clearing violations?
Click Processes on the lefthand side.
You'll see a list of Process Boards - determine the one that best fits your role
Hint: You may need to confirm with your manager.
The board should automatically filter to your name
If it does not, you can manually filter. Click the "Filter By User" box and select your name.
You'll see a list of violations associated with you. Click the RUN button on the top right.
You will automatically be guided into HubSpot with the extension open to process through your rule violations.
Once you make any necessary updates and confirm each process is in good standing, you're all done for the day!
Check back again tomorrow to see what new violations need attention, if any!
🚀 Efficiency & Workflow
Will Process Boards slow me down or make my job harder?
No - Process Boards are intended to create an easy system for you to stay up to date on contacts, deals, and other processes implemented by your organization. Once you click RUN on a process board, you'll instantly know how to rectify any violations in your processes because the system will guide you through each item that needs attention. We recommend that you make it a habit to check your process board first thing each morning to see what needs updated.
Is it built into HubSpot and do I have to switch tabs/tools?
Yes and No - When you click RUN on the process board for the day, you'll automatically be taken into HubSpot and the extension will open and activate so you can work through your process rule violations while updating things in real time!
Does it help me avoid back-and-forth with my manager about my deals being “off process”?
1000%! That's one of the best parts about Process Boards for a rep and for a manager! You save time and can be more efficient at what you do best because you can more easily see your process violations, correct them more quickly, and keep doing your best work!
Managers can now see who is violating certain processes more frequently or who hasn't given their violations any attention. As long as you're reviewing your violations each day (as recommended), you won't have to worry about the typical back-and-forth.
📈Quota & Results
Will this actually help me close more deals or hit quota faster?
Yes - When you're following the sales process and keeping everything up to date, you have more opportunity to not miss a necessary step, to follow up with more opportunities, and to keep your Admin and Managers informed without taking more time on the calendar to explain yourself. Because of the efficiency you gain with Process Boards, you'll have the capacity for more deals and faster quota's!
If I follow the Process Board, will my deals be stronger or more likely to close?
Yes - Assuming the process that has been put in place by your organization has a proven track record for success, then by reviewing the process board and correcting violations to ensure maximum follow through, you will have stronger opportunities for improving close rate and reaching success.
📕Learning & Autonomy
Will this help me learn the sales process better and make fewer mistakes over time?
Yes - Ideally you're following the sales process from the start; however, processes do take time and sometimes it's easy to forget a step which is why process boards are such a great tool in bridging that gap! If you consistently forget a step, you may not realize it or know how often you're violating that step. If you're the one that has to fix it every time, eventually you'll make auto-corrections so that the violation is flagged less and less. This makes your sales process better over time and fewer mistakes are made.
Do I have to wait for a manager to tell me what I did wrong, or can I fix it myself?
You can fix it yourself - Click RUN on your Process Board each morning, correct any violations and continue on with your day! It's really that easy!
Is this tool going to make me more independent, or just micromanage me more?
More Independent - Your manager doesn't have to go digging through your accounts or emails to see if you're following the process correctly which means less micromanaging and less questions. They can see if you're following the process or not and if you're correcting violations or not.
Can I track my own progress?
Yes - You can see analytics and stats right on the Process Board dashboard. You can see the overall violations over time, see which rules are being flagged more frequently, and which reps have violations (a little healthy competition, right?!)
🛠️Tool Usage & Support
Do I get any training on how to use Process Boards?
Yes - This document should have everything you need to get started. If you have additional questions though and need support, reach out to your Admin or Manager!
Can I give feedback on how the process works if something doesn’t make sense?
Yes - Share any feedback with your Admin or Manager. They may have set up a process rule that made sense at the time and either doesn't actually work with a rep's flow in the intended way or has an error and needs to be adjusted.
How much time per day will this actually take to use?
It depends on the amount of violations - Our recommendation is to use the process board each morning to rectify any violations. This will make it part of your daily process, take 10-15 minutes to fix, and then you're on your way!
The longer that you let violations pile up, the longer it'll take to work through them. There will also be more violations in the beginning of your process board usage, so commit to giving 10-15 minutes each morning to clearing as many as you can until you're caught up!
