How do Process Boards benefit Admin?

As an Admin, you can create a Process Board framework that will help you prioritize activities for your reps and organization, diagnose problems early, and provide clear directive action to resolve issues. Operationalize the things that make your processes run smoothly and ensure your data is clean and pristine!

Do you constantly find yourself going back and forth with a rep, trying to ensure that everything is up to date? Process boards will help keep your reps accountable and begin to prevent errors over time. By making the rep fix the issue in the CRM, they learn how to do it, and develop the habit of doing it every time.

⚙️Integration

Do Process Boards integrate natively with HubSpot & SalesForce?

Yes - as long as you have a provider activated, it will connect directly with HubSpot and SalesForce and interact with the process rules you create.

What objects and properties do Process Boards interact with?

Whatever process rules can do, process boards can do too! As long as you're able to create it with a process rule, you'll be able to track it with a process board.

How are violations and corrective actions tracked?

Each process board has it's own Analytics right on the main page to easily see how many violations you have overall, which process rules are being violated the most, and which reps are on track or need attention.

How are permissions managed?

You can access your permissions by going to your account "Settings", found when you click the drop down arrow on the top left with your company name. From there, click on "Permission Sets" and scroll down to the "Processes" section. You can determine the proper permissions from there.

Is data synced in real-time?

  • For the Analytics - a true up will be run every 1 hour and updated throughout the day.

  • For the Process Rules - as users work through the extension, it updates in real time as they correct violations.

  • On the Dashboard - the time stamp on the chart is currently real time. Eventually this will reflect Sync Time.

Will Process Boards add overhead for me?

No - Once set up, it will increase your efficiency so you can do you what you do best, continue building processes and work flows that improve your organization overall without solely trying to manage and correct the already existing processes.

Will Process Boards reduce the need for manual pipeline reviews?

Maybe - That's honestly up to you! At the very least, your pipeline check-in's should run smoother and faster because you have a tool to track exactly what's going well and what's not going well, addressing issues right away instead of having to find them or ask too many questions. Ultimately, Process Boards could replace your need for face to face pipeline reviews or it could be a tool for managing your pipeline reviews virtually and following up face to face on an "as needed" basis.

✅Operational Workflow

Is there a way via slack or email to notify reps of violations and the corrections that need to be made?

Not at this time - Eventually there will be a way for reps to be pinged of violations and notified using email or slack and potentially other channels. For now, we recommend that reps start their day with Process Boards to rectify any violations.

Is there a way for a Rep to bypass a Violation?

Yes, with stipulations - Rep's can manually mark a violation as completed (assuming they find the violation is incorrect, not because they simply do not want to correct it) and it will remove itself from the process board for the moment. This triggers an action behind the scenes to double check that the record is actually fixed and the violation was an error. If the record was not actually fixed according to the process rule, it will end up back on the board within a few minutes.

Is there an approval process for exceptions to correcting a violation?

No - The process rule should be the source of truth. It is either fixed or not fixed. If a Rep wants to bypass a violation or needs an exception, then something needs to be adjusted on the process rule or the Rep needs to adhere to the expectations of the rule.

📈Analytics & Reporting

What are the reporting capabilities?

  • Track process improvement over time:

    • On the Analytics dashboard, you can see how your violations are decreasing over time as reps become more familiar with the process of reducing and clearing violations.

    • If you start to notice that a specific violation is higher than normal, you'll be alerted to the problem more quickly and can resolve it more quickly.

  • Track specifically for a Rep OR a Process Rule:

    • You can click on specific users and specific rules and see the chart adjust.

    • You cannot do a mix of both. [Ex: I want to see how many times this rep violated this rule. - This is not possible.]

Can we export reports?

Not yet - We will likely have this as an option in the future. It is not part of the initial release of Process Boards and we are unsure of what that will look like at this time.

What does onboarding and training look like for Process Boards?

How intuitive is it for new reps to follow the process using this tool?

Very intuitive - when they get ready to run their process board, it will direct them to the CRM and the exact object that is in violation, outlining the process rule that is being violated. They can go in and rectify the object within the CRM and it will instantly show it is completed, directing them to the next violated object, and so on until completed. The sidekick extension and the CRM work alongside each other for simple use and follow through.

Does using Process Boards create extra work for reps?

No - the intent is that a rep is completing steps that are already expected of the role. Ideally they learn or remember to take these steps initially so that violations are not flagged. If they forget, then they need to go back and finalize the necessary process anyways. Process boards trigger that reminder without them having to keep a list or review later, essentially saving them time.
